Logging into the Carbon Connections system

Access to the Application Process is protected by a username and password. If you do not have a username and password and would like to complete an application, please contact your Project Coordinator.

You will have been provided a Username and Password for your account by your Project Coordinator, please enter the details you have been given into the boxes provided and click the login button. If your login has been successful you will be taken to your Project Homepage.

An overview of the application process

If you have been given a login by your Project Coordinator, use these details to gain access to the Carbon Connections system.

At this stage you will have access to the Project Summary Screen and the Application Form, for more information on how to use these sections, please visit the relevant help in this document.

Who can complete an Application?

A project application can be completed by any Project Partner that has been added to this project by your Project Coordinator. Within each project one Partner will be identified as the Lead Partner. The Lead Partner has more functionality and responsibility available to them than a normal Partner.

What steps need to be taken to complete an Application?

Before an application can be successful a number of steps need to be taken to complete the Application and submit it to the Carbon Connections team. The basic process of this work flow is described below

  1. Project is identified and Project Co-ordinator is appointed.
  2. Project Co-ordinator creates a project within the system and identifies Project Partners (including Lead Partner).
  3. Project Partners receive emails containing their login credentials.
  4. Project Partners complete the online application, Locking the application for Editing as necessary.
  5. Lead Partner submits the application to the Project Co-ordinator for review.
  6. Project is locked for editing.
  7. Project Co-ordinator reviews the application form and either submits the application form to the Approval Body or adds notes and returns the project to the partners for revision (Go to Point 4).
  8. If the project has been submitted to the Approval Body, they will review the application and decide upon the next course of action. At this stage they may add notes and return the application back to the Project Co-ordinator for clarification or additional information.
  9. The steps from Point 4 to 8 are repeated until the application is completed.

What is the difference between a normal Project Partner and the Lead Project Partner?

The only main difference between a normal Project Partner and the Lead Project Partner is that the Lead Project Partner is the only person assigned to the project with the ability to Submit the Application for review by the Project Co-ordinator.

Locking the Application For Editing

Only one person can work on filling in the Application form at any one time. For this reason, each partner must Lock the Application in order to work on it. At this point no other partner will be able to amend the Application. Once the partner has completed any changes they need to make, they must Sign-In the Application.

I have more than one username and password.

If you have more than one application you are completing for different projects then you will have been given more than one username and password. Each username and password is only valid for one application form.

System Emails

Throughout the life-cycle of the system, you will receive automated emails from the Carbon Connections system. These emails are provided to keep you up to date with developments with your application. These emails are sent to the email address you supplied to your project co-ordinator, so if you change your email address it is important to let your project co-ordinator know of the change.

The Project Summary Screen

The Project Summary Screen is the main hub of activity for each application. It is from this screen that you will be able to sign in and sign out the application and gain access to the application form itself. The screen also provides you with at-a-glance information regarding the overall status of the project.

Notes are added to this screen as necessary to inform you of important information; such as an application being signed out be someone else, or notes being attached to the application.

The project summary screen is split into three main panels :

  • The Project Details Panel
  • The Project Control Panel
  • The Project File Repository

The project details panel shows you important information as to the status of the project. It provides you with at-a-glance information about how your project is progressing.

The Project Control Panel

The project control panel allows you to access the various features of the Carbon Connection application procedure.

NOTE The project control panel will only display those options which are available at this time. For example, if the project has been submitted to the Project Co-ordinator for review, the Sign Out/Edit button will not be displayed.

The various options that maybe displayed in the control panel and a brief description of their function are shown below.

  • Lock for Editing & Sign Out : This option will sign out the application form and immediately take you to the application form for you to fill in. If someone else has the project signed out or it has been submitted to your project co-ordinator, this option will not be displayed.
  • Sign In : This option will be displayed if you have the Application signed out for editing. Clicking on this option will apply you changes and sign in the application.
  • View Application : This option will take you to the Project Application Form. If you currently have the application form signed out, you will be able to continue editing the application. If the project is not signed out, or someone else has, you will only have Read Only access.
  • Submit For Review : This option is only available to the Lead Project Partner. Clicking this button will submit the Application for review by your project co-ordinator. At this stage no further work can be carried out on the application.


Project Messages

Underneath the Project Control Panel, any important messages pertaining to the current status of the project will be displayed. For example, the one shown above reminds you that you currently have the project signed out. Other messages about the status of the project will be displayed as necessary.

The Project File Repository

Sometimes it may be necessary to attach files to the current project for review by other members of the project partner team or by the Carbon Connection Project Co-ordinator. This section allows you to upload files to the carbon connections application so that they are available for everyone to look at.

  • Click on the Upload a File button to add a file to the Project File Repository.
  • Click on a file Icon to begin downloading the selected file from the Project File Repository

The Application Form

The Application Form is access able from the Project Control Panel, which is displayed on the Project Summary Screen.

The Application screen itself is spit into two main parts.

  • Project Application Control Panel
  • Application Form Section

The Project Application Control Panel

Each Application form is split into nine different sections, all of which must be filled in by the Project Partners prior to submission to the Project Co-ordinator. The Application Control Panel allows you to view each section. and if you have the application signed out, edit each section. Clicking on any of the section buttons will display that section in the lower half of the screen.

Clicking on the Print View icon in the top right of the screen will display a printable version of the application form containing it's current contents. This can then be printed.

Clicking on the Return to Project Page button will take you back to the Project Summary screen. You will be able to return to the project application form at any time by clicking on the View Application button from the Project Summary Screen.


The Main Project Application Panel

The Application Form Section

The lower half of the Application Form screen will display the currently selected form section. Each form section deals with a different part of the application form.

Please complete each section as fully as possible before submitting the application to the project co-ordinator. If you require other project partners to complete a section of the form, you must first sign in your changes from the Project Summary Screen before they will be allowed to make their changes/additions.

When you have finished completing any changes, click on the Save Changes To Application button to submit your changes to the application. Failure to do this will result in any changes being lost.

NOTE : If you do not currently have the application signed out, you will not be able to add any information to the application form and the controls will be locked. You must first sign out the application from the Project Summary Screen.


Project Application Section

Project Notes

The project notes panel will appear on any application section on which the Project Co-ordinator or Approval Body has added notes. Any notes given will be displayed in chronological order, detailing who added the notes and on what date.

My Details Screen

This simple screen allows you to change basic information about your account. From here you can change you email address and system password.

Follow the on screen instructions to change your details.

NOTE : If you change your email address, the new one will be used for all further automated correspondence.
